Handling Exterior ILLs from Rapid City Public Library

Below are instructions on how to set up your 20 library to handle exterior ILLs. I am afraid I am not an expert at these things, but if you run into trouble I will gladly assist in any way that I can.

Setting up "20" Library to use for ILL
(this may be stuff that Melanie can help us with.)

To create a record
  1. Open ALEPH Circulation
  2. Select ITEMS from Menu bar
  3. First option is Catalog Record + Create Item (Ctrl+F8), Select this option
  4. The window that opens is Choose Bibliographic Library
    • Select 20 library (not SYS01)
    • Select OK (new window opens after this OK)
  5. In Document Information tab fill in
    • Author (last name, first name)
    • Title
    • Date - use date of publication
    • Select Item Information tab
  6. In Item Information tab fill in
    • Item Barcode
    • Sublibrary
    • Item Status (you may need to create a new status for ILL)
    • Material Type (select the right type from the drop down window
    • Select OK (new window opens after this OK)
  7. Barcode and Record number window
    • Verify your information (note any errors to edit)
    • Select OK (ALEPH item display opens after this OK)
  8. In Item display
    • Select Hold Request and follow instructions for placing patron hold. (This creates your link to your patron and will let you generate notices, including email notices.)


To edit a record
  1. Open ALEPH Cataloging
  2. Go to ALEPH command line
    • Select Connect to:
    • Select your 20 library.
  3. Go to your search screen (binoculars)
    • In search drop down select your 20 library
    • enter your search terms
  4. When you retrieve your records click on Show, or if you have automatic Show wait for it to open in that display.
  5. To edit Bibliographic information select Cataloging from the lower left hand set of options
  6. To edit barcode or other item information select Items from the lower left hand set of options.
